What is stock management? 

Stock management allows you to manage your stock by recording the initial amount of items you have available, and having these amounts updated throughout the day when orders are taken via your POS system.

Two stock management methods are available on Point of Sale Pro: 

  1. Standard stock 

  2. One-day tracking

Important: You can check and manage your stock quantities from your POS Pro app. You’ll also be able to check stock quantities from your back office. 

What is standard stock management?

Standard stock management allows you to track and manage your usual stock.

The advantages of standard stock tracking are:

  • Seeing the exact amount of remaining items while you take orders

  • Avoiding overstocking or understocking

  • Getting an alert from your POS system once an item is running low or sold out

What is one-day tracking?

One-day tracking allows you to track perishable/limited-quantity items you’re offering (eg. your kitchen staff tell you they only have 4 beef fillets left, just for today). 

One-day tracking will be reset to “Sold out” once the till is closed.

Advantages of one-day tracking are:

  • Seeing the available quantities of temporary items at the start of each day, with them being reset to 0 at closing

  • Seeing the exact amount of tracked items remaining while you take orders

  • Avoiding overstocking or understocking so you can always meet your demand

  • Getting an alert from your POS system once an item is running low or sold out

How to activate/deactivate stock:

There are 2 stock management modules that can be activated from the back office via  Settings > Modules > Store settings.

  • Module to activate One-day tracking 

  • Module to activate Standard stock management 

Once one of the modules is activated, the tab dedicated to stock management is displayed on your iPad in the Settings > Stock tab, and in the back office on the menu in the left-hand side, under Products > Stocks.

How to add your stock-takes of each item

You can modify your stock levels in the POS Pro app (on your iPad). Stocks can only be viewed in the back office.

To change your stock quantities, go to the POS Pro app > Settings > Stock and follow the below steps:

  1. Click on the item

  2. Activate the stock tracker by entering a quantity

  3. Save

The quantity of the item is automatically displayed in the stock tab as well as when taking orders on the POS Pro app. From the back office, you can check your most up-to-date quantities from Products > Stocks, simply by refreshing your browser.

How to add a stock alert for an item

To manage the alert, go to the POS Pro App > Settings > Stock and follow the below steps:

  • Click on the item

  • Enable Track Stock and add a stock quantity

  • Enter a quantity in the Low stock warning field 

  • Save

You can choose a quantity at which you’ll be alerted and reminded to replenish certain items (the item must already be tracked and have an associated stock quantity before adding a stock alert).

As soon as the quantity of the item reaches this low-stock threshold, the quantity will automatically be displayed in orange on the POS Pro app Stock and Order screens as well as in the back office.

How to edit the stock of an item

To edit the stock, go to the POS Pro App > Settings > Stock and follow the below steps:

  1. Click on the tracked item

  2. Enter the remaining quantity of the item in the quantity field

  3. Save

The quantity will automatically be updated on the POS Pro app Stock and Order screens as well as in the back office.

How to deactivate stock tracking for specific items

To deactivate the stock tracking of an item, go to the POS Pro App > Settings > Stock and follow the below steps:

  1. Click on the item

  2. Deactivate the switch Track stock

  3. Save

The item will no longer be tracked and remaining quantities will not be shown on the POS Pro app Stock and Order screens as well as in the back office.

How to select tracking mode for specific items

If you’re using both one-day tracking and standard stock features, you might want to choose one or the other for specific items. (Appears only if you’ve activated daily and permanent stock management.)

  • By default, items are tracked via the standard stock management feature

  • To activate one-day tracking on an item, go to the POS Pro App > Settings > Stock and follow the below steps:

    • Click on an item

    • Enable Track Stock and add a stock quantity

    • Enable one-day tracking

  • If the item is tracked with standard stock tracking: its quantity will remain throughout multiple days/services

  • If the item is tracked with one-day stock tracking: its quantity will be reset to 0 every time you close your till.

How do I check stock from my back office?

You can check your stock levels from your back office on any device (phone, tablet, desktop). Go to your back office > Products > Stocks (in the menu on the left).

Can I manage stock from my back office?

You can only add/edit stock quantities from your POS Pro app. Go to Settings > Stock > click on the item you’d like to manage. You can always view your stock levels from your back office. 

What happens with stock tracking when I cancel/remove an item from an order?

When you delete an item from an order, you can choose one of two options:

  1. Restock item: the quantity of this item is added back to the item’s total stock quantity

  2. Delete from stock: the quantity of this item is entirely deleted and not added back to the item’s total stock quantity
